A shipping amount is meaningful only with a package basis

Record origin, destination region, quantity, packed weight, carton dimensions, item restrictions, service level and quote date. Use the same facts for every route you compare.

Collect eight facts before requesting an estimate

  1. Origin city or warehouse region.
  2. Destination country and postal region.
  3. Exact quantity and product type.
  4. Packed weight, not only product weight.
  5. Outer carton dimensions and carton count.
  6. Battery, liquid, magnetic or other relevant restrictions.
  7. Preferred service level or acceptable time range.
  8. Quote currency and date.

Compare routes on the same package facts

Create columns for chargeable weight, stated amount, currency, transit estimate, included services, exclusions, tracking level and quote validity. Do not rank a route if one candidate uses product weight and another uses packed or volumetric weight.

Record who is responsible for each stage

Identify who packs the parcel, purchases the transport, prepares declarations, collects duties or taxes when applicable, supplies tracking and handles a loss or damage inquiry. If the responsibility cannot be stated, the amount is not yet a usable logistics comparison.

Replace estimates only when final package facts exist

Keep early numbers labeled as planning estimates. Update them when the packed parcel, route and provider are known, but retain the previous note so the change can be explained.
